2. Definitions

2.1. “Personal Data” means any information relating to an identified or identifiable natural person (hereinafter “Data Subject”); an identifiable natural person is one who can be identified, directly or indirectly, in particular by reference to an identifier such as a name, an identification number, location data, an online identifier or to one or more factors specific to the physical, physiological, genetic, mental, economic, cultural or social identity of that natural person (hereinafter “Personal Data”).

2.2. “Non-Personal Data” is data which will be logged for internal system-related and statistical purposes, which cannot be tracked back to you (name of the file accessed, date and time of access, data volume transferred, notification of successful access and transfer, web browser and requesting domain). Data disclosing your identity will not be publicly used by UEG. UEG may, however, use any data collected in anonymized form, in particular for purposes of statistical analyses.

2.3. “Processing” means any operation or set of operations which is performed on personal data or on sets of personal data, whether or not by automated means, such as collection, recording, organisation, structuring, storage, adaptation or alteration, retrieval, consultation, use, disclosure by transmission, dissemination or otherwise making available, alignment or combination, restriction, erasure or destruction.

2.4. “Controller” means the natural or legal person, public authority, agency or other body which, alone or jointly with others, determines the purposes and means of the processing of personal data; where the purposes and means of such processing are determined by Union or Member State law, the Controller or the specific criteria for its nomination may be provided for by Union or Member State law.

2.5. “Processor” means a natural or legal person, public authority, agency or other body which processes personal data on behalf of the Controller.

2.6. “Recipient” means a natural or legal person, public authority, agency or another body, to which the personal data are disclosed, whether a third party or not. However, public authorities which may receive personal data in the framework of a particular inquiry in accordance with the laws of the European Union or any of its Member States shall not be regarded as recipients; the processing of those data by those public authorities shall be in compliance with the applicable data protection rules according to the purposes of the processing.

2.7. “Third party” means a natural or legal person, public authority, agency or body other than the Data Subject, Controller, processor and persons who, under the direct authority of the Controller or processor, are authorized to process personal data.

3.1. This Privacy Statement applies to your interaction with IBSchoolImprovement.com and its personnel.

4.4. Like most website operators, IBSchoolImprovement.com collects non-personally-identifying information of the sort that web browsers and servers typically make available. We use Google Analytics (GA) and that information might be shared with Google.

4.5. The purpose in collecting non-personally identifying information is to better understand how IBSchoolImprovement.com's visitors use its website.

  • We have no control over, and assume no responsibility for the content, privacy policies or practices of any third party sites, products or services.

4.8. We may provide your personal information to a third party for payment collection when paying with a credit card, this is only done under your explicit request.

4.9. You may also decide to provide some identifiable information to a third party application utilized on our website to sign up for a newsletter.

4.10. IBSchoolImprovement.com processes student data internally and does not provide student identifiable information to third parties for data processing.


5. Access to Your Personal Data

5.1. Anyone may request to review the personal information we maintain about them, and may correct, amend, or delete that information where it is inaccurate.

5.2. To request your data, please contact us at info@ibschoolimprovement.com, we will respond to your request within 30 days. Please Note: We may limit or deny access to personal data in cases where, in our reasonable judgment, the burden or expense would be disproportionate to the risks to your privacy or where the rights of persons other than you would be violated, or as otherwise permitted.

6. Google Drive

6.1. We use Google Drive to provide a secure mechanism for you to transfer data to us and for us to transfer our reports back to you.

6.2. By using our service, you consent to our use of Google Drive to store and transfer your data.

6.3. Google Drive complies with the General Data Protection Regulation.


7. Our Process

7.1. Here is a simplified summary of our typical interaction with schools:

  • Interested schools reach out via email or telephone for additional information.
  • Schools then provide consent for us to process their data. If a contract is required by the location’s data privacy laws, we agree to a contract which creates a lawful bases for our interaction.
  • Schools download the Subject Results CSV, Candidate Results CSV, and Component Result CSV from IBIS, and upload their IB CSV files to a Google Drive folder.
    • Data included in these files includes: Diploma category, EE/TOK points, grades, IB components, IB diploma outcomes, IB diploma requirement codes, IB exam sessions (months and years), IB personal codes, IB subject, IB test, IB test level, moderated marks, predicted grades, raw marks, scaled marks, school number, scores, and student names.
    • Sometimes schools send us additional student information for us to produce customized reports for the school. This may include, but is not limited to: Gender, internal predicted grades, university intent, etc. This information, like other information stated above is kept by IBSchoolImprovement.com until a school is satisfied with the delivered product and then deleted, unless otherwise agreed upon.
  • We process the CSV files into a tableau workbook and upload it to the same Google Drive folder along with an invoice.
  • Once a school is satisfied with the delivered visualization or professional development, all student identifiable information, retained by IBSchoolImprovement.com, is deleted. Returning schools do have the option for us to keep student information for several years to make processing of their information more efficient.
  • We do not interact with students as part of our data processing or delivery process. Additionally, we do not collect personal data from them directly.
  • Beyond placing the files in Google Drive, student data is not shared with other third parties as part of our data processing.

8. Your Consent

8.1. Where the legal basis for us processing your school’s data is that you have provided your consent, you may withdraw your consent at any time.

8.2. You will not suffer any detriment for withdrawing your consent.

8.3. If you withdraw your consent, this will not make processing which we undertook before you withdrew your consent unlawful.

9. Contracts

9.1. In the event a contract is required to process your school’s data, please be aware that, in certain circumstances, where you do not provide personal information which is required by us, we will not be able to provide the products and services under our contract with you or may not be able to comply with a legal obligation on us.


10. Security

10.1. The security of your Personal Information is important to us. Please remember that no method of transmission over the Internet, or method of electronic storage is 100% secure.

10.2. While we strive to use commercially acceptable means to protect your Personal Information, we cannot guarantee its absolute security.

10.3. Notes about our security:

  • Our website is SSL encrypted to ensure a secure link between your browser and our website.
  • Our Google accounts are protected with strong passwords and two-factor authentication.

11. International Transfers of Personal Data

11.1. Our Data Processing Agreement includes the EU Standard Contractual Clauses for data transfers between EU and non-EU countries.
